AHCO is now seeking an experienced and senior-level Executive Assistant who offers strong office management skills along with a positive and professional demeanor, a detail-oriented approach to work product, a good sense of humor, and strong office management skills. Our ideal candidate loves owning projects, improving processes and procedures, and creating an exceptional client service experience for both new and long-term clients. An entrepreneurial mind-set coupled with the ability to multi-task and to work steadily and independently within a fast-paced setting are also a must.

 

Familiarity with investments and security transactions is a plus, but is not required. We can train on investment advisory terminoloyg and transaction management specifics, assuming there is an interest to learn and a desire to grow your knowledge of our industry. The AHCO work environment is collegial, efficient and self-directed. 

Responsibilities

Reporting directly to firm ownership, our ideal candidate will:

  • Deliver Exceptional Client Service – Partner closely with AHCO principals to ensure the highest levels of client service and confidentiality, and, a well-run and professional investment office setting.
  • Facilitate Client Transactions – Onboard new clients and assist with all communications and performance statistics. Affirm and settle security transactions and enter trades in the company’s client accounting system.  Reconcile transactions and interface with third party custodians.  Balance account data with monthly reports from third party custodians.  
  • Manage Firm Accounting – Perform internal accounting and interface with external accountants for annual reviews and audits. Prepare account billing and ensure collection of receivables.  Manage payroll and accounts payable.
  • Ensure Firm Compliance – Conduct periodic compliance testing and partner with our compliance consultant. Assist with regulatory compliance examinations on behalf of the company.
  • Oversee Office Operations & Vendor Relations – Assume responsibility for the smooth and efficient operation of the office. Manage office supplies and equipment, marketing materials, client records, and office policies and procedures. Work with IT, compliance, and benefits partners.

Qualifications

 

  • 5-7+ years prior executive support experience in a professional client service environment.
  • Client service ethic and excellent verbal and written communication skills with polished phone and email presence.
  • Technology skills in Windows, including Word, Excel and PowerPoint.
  • Experience in QuickBooks and/or a similar accounting package strongly preferred.
  • 4-year undergraduate degree 
  • Knowledge of the investment, banking, and/or financial industries a plus, but not required.
  • A high level of personal integrity and an ability to maintain total confidentiality regarding clients and company business.
  • Good sense of humor and ability to function and multi-task within a team.
  • Proven ability to identify and anticipate potential problems and to self-initiate constructive action and operate independently with minimal supervision.

 

Compensation Package:

 

AHCO values its employees and offers competitive compensation including an opportunity for an annual performance-based bonus as well as group health insurance, vacation pay, and participation in the company’s profit sharing plan.  Work hours are generally 8AM to 5PM.  Extended hours during the week are rare, and weekend hours are not expected.
